Spam Filtering & Reports
Spam filtering
Spam filtering takes place as email arrives on our mail server. The mail server then directs messages it perceives to be spam to a user’s Spam folder, rather than to that user’s Inbox on our server. Messages left in a Spam folder will be deleted automatically after 7 days.
Mail clients (such as Outlook) will only download email from a user’s Inbox on our mail server. In order to make sure that users are aware of messages that have accumulated in a user's Spam folder on our mail server, we have implemented the use of Spam Reports.
Spam reports
A Spam Report is an email that is delivered to a user’s Inbox that contains a “snapshot” of the messages in that user’s Spam folder on our mail server (if any). These snapshots are taken at 11 AM, 3 PM, and 6 PM everyday. If you receive a Spam Report, you can click the links from within that Spam Report to perform the following actions for each (or all) messages within your Spam folder:
- Whitelist sender (or Authorize All senders)
- Deliver message (or Deliver All messages)
- Delete message (or Delete All messages)
- Blacklist sender (or Blacklist All senders)
- Show message
- Deliver the rest of the messages
- Blacklist the rest of the senders
Whitelist (or Authorize)
This action will both deliver the message to your Inbox *and* create a rule to deliver future messages from this sender directly to your Inbox (even if they appear to be spam).
Deliver
This action will deliver the message to your Inbox. This will not affect how spam filtering is applied to future messages from this sender.
Delete
This action will delete the message from your Spam folder. This will not affect how spam filtering is applied to future messages from this sender.
Blacklist
This action will both delete the message from your Spam folder *and* create a rule to reject future messages from this sender (even if they do not appear to be spam).
You may find that a setting on your computer is blocking your mail client from allowing these actions to take place from within the Spam Report. In this case, you will need to login to your webmail account and go directly to your Spam folder to manage these messages individually.
Remember: messages left in a Spam folder will be deleted automatically after 7 days.
Disable spam reports
If you would prefer not to receive spam report notifications, you can disable this feature by doing the following:
- Login to your webmail account with your full email address and password. (Additional Information)
- Note: The URL to access your webmail account is typically "pop." followed by your domain name. For example, if your website is "http://www.samplesite.com," then you would login to your webmail account at "http://pop.samplesite.com." Alternatively, you may login at "http://pop.speartek.com."
- On the Tools menu, select Options.
- Select the Security tab.
- Select the Anti-Spam subtab.
- Select "Disabled" from the Spam reports mode drop-down menu.
- Click OK.
Turn off spam filtering
If you would like to turn off spam filtering so that all messages are delivered to your Inbox, you can do the following:
- Login to your webmail account with your full email address and password. (Additional Information)
- Note: The URL to access your webmail account is typically "pop." followed by your domain name. For example, if your website is "http://www.samplesite.com," then you would login to your webmail account at "http://pop.samplesite.com." Alternatively, you may login at "http://pop.speartek.com."
- On the Tools menu, select Options.
- Select the Security tab.
- Select the Anti-Spam subtab.
- Select "Do not use Spam folder" from the Spam folder mode drop-down menu.
- Click OK.
